Manage content blocks
Content blocks are preset pieces of content created by admins that are accessible to page editors to insert on intranet pages. Content blocks make it easy to add regularly used preset content like an organization's mission statement and values, or a project proposal template. Once a content block is inserted into the body of a page, it can be edited like any other content in the Rich Text Editor.

Who can manage content blocks
By default, super admins and content admins will be able to access the Content blocks admin page and add, edit, and delete content blocks. To change who can access the content blocks admin page or other admin pages, see Admin roles and permissions.
Create a content block
Create a piece of content that will be available for page editors to insert on intranet pages and then edit as desired.
- Go to the ThoughtFarmer Admin panel: Content section > Content blocks page.
- Click Add content block.
- If you do not want the content block to be available to users when you save it, change the Draft toggle to ON.
- Enter a display name for the content block in the Title field. This is the name editors will see when selecting a content block.
- Enter an optional description for the content block in the Description field. This will provide additional information to help editors choose which content block to insert on a page.
- In the Rich Text Editor field, enter the content for the content block. You can add formatting, images, links, lists and anything you can normally add in the Rich Text Editor when editing a page.
- If you only want certain security groups or users to be able to add this content block to pages:
- Select the checkbox Restrict access.
- Click in the Search field, and start typing the name of a user or security group that you want to be able to access the content block. Select the name when it appears in the dropdown menu.
- Repeat the search to add more users or security groups.
- If you want the content block to be available in multiple languages, select the language selector at the bottom, switch to another language and add a title, description and content for that language. Repeat for multiple languages.
- Click Save when you are done editing the content block.
After you save a new content block, you will see it listed on the Content blocks admin page. You can then edit, duplicate or delete the content block.
Make a draft content block public
If you save a content block in draft mode, you see the label DRAFT beside the title on the Content blocks admin page. When a content block is in draft mode it is not available for users to add to pages. To make a content block available to editors, edit the content block on the content blocks admin page, turn the Draft toggle OFF and save the content block. It will now be available to users that have permission to access it.
Restrict access to a content block
Admins can set content blocks so that only specific users or security groups can select them from the content blocks list and add them to pages. Restricting access to content blocks keeps the content block list shorter and more relevant for users adding content blocks to pages.
Restricting access to a content block only affects the ability to add a content block to a page; it does not affect who can view a content block that has been added to a page.
To restrict access to a content block:
-
- Go to the ThoughtFarmer Admin panel: Content section > Content blocks page.
- Click the Edit icon beside the content block that you want to restrict.
- Select the checkbox Restrict access below the content editor.
- Click in the Search field, and start typing the name of a user or security group that you want to be able to access the content block. Select the name when it appears in the dropdown menu.
- Repeat the search to add more users or security groups.
- Click Save.
Search content blocks
You can search content blocks on the ThoughtFarmer Admin panel: Content section > Content blocks page. You can search by title but not by description. Click in the Search field and start typing to filter the content blocks.
Duplicate a content block
On the Content blocks admin page, click the Duplicate icon beside the content block you want to duplicate. You will go into edit mode on a new content block, which will automatically be in Draft mode. The title will be the same as the duplicated content block with the word COPY added to the end. The new content block will have the same description, content and access settings as the original. Make the changes you want and save the new content block.
Edit a content block
On the Content blocks admin page, click the Edit icon beside the content block you want to change. You will go into edit mode on the content block. Make the changes you want and save the content block.
Reorder content blocks
The order of content blocks on the Content blocks admin page determines the display order in the content blocks list that users select from in the Rich Text Editor.
To reorder the content block list:
- Go to the ThoughtFarmer Admin panel: Content section > Content blocks page.
- Click Reorder content blocks above the list of content blocks.
- In the Reorder content blocks pop-up window, reorder the content blocks by clicking on the current order type and selecting Title or Date, or set a curated order by dragging and dropping the content blocks into the desired order.
- Click Save to save the new order.
Delete a content block
On the Content blocks admin page, click the Delete icon beside the content block you want to delete. Click Delete in the pop-up window that appears to confirm the deletion.
