AI Assistant permissions and customization
The settings described on this page allow you to customize the appearance and welcome message of the AI Assistant and to determine which users are able to use the AI Assistant on your intranet.
AI Assistant permissions
You can determine who is able to use the AI Assistant by setting permissions. You can give access to only Super admins, admins who have permission to view and edit all site content, or specific security groups or individuals. If you want all users to be able to use the AI Assistant, give permission to the All Registered Users security group.
To grant permissions:
- Go to the ThoughtFarmer Admin panel: Integrations section > AI Assistant page.
- Go to the Permissions tab.
- Choose the radio button for the group that you want to give permissions to:
- Super administrators only
- Administrators who can view and edit all site content
- Specific security groups or individuals.
- If you select Specific security groups or individuals, click in the field below that option and start typing the name of a security group or individual that you want to have permissions. Click on the name when it appears in the dropdown list. Repeat to add more security groups or individuals.
- Click Save.
To delete a security group or individual that you have added, click the X beside the name of the security group or individual and click Save.
Customize the AI Assistant
Name
The AI Assistant Name will display in the header of the AI Assistant message window. Enter the desired Name in the Edit name field. The name will show in the preview under the Message header heading.
Avatar
The AI Assistant avatar shows as the minimized AI Assistant in the bottom right of the browsing window when viewing the intranet. It also shows at the top of the AI Assistant welcome message. To upload an avatar:
- Go to the ThoughtFarmer Admin panel: Integrations section > AI Assistant page.
- Go to the Settings tab.
- Under Message window > Avatar, click Replace.
- In the Replace image window, drag and drop or browse to find the image file.
- The image file should be a minimum of 64x64 pixels, and in gif, jpg, or png format.
Message header
The color of the message window header can be changed from the Theme Colors tab. You can choose a solid color or gradient, and light or dark text.
- When viewing the AI Assistant settings, click the link under the Message header, OR go to the ThoughtFarmer Admin panel: User interface section > Theme page.
- Click on the theme you want to change (Active theme if you want to change the current intranet theme).
- Click on Colors.
- Under the AI message window heading, there are several options:
- If you want to create a gradient between two colors, select the corresponding radio button to choose a Horizontal or Vertical Gradient direction.
- To choose the two colors, enter a HEX code in the color field, or click a color circle and select a color in the color picker that appears. Click outside the color picker to close it. Repeat for the second color. If you want a solid color rather than a gradient, select the same color in both color fields.
- Select the corresponding radio button to choose a Dark or Light Text color.
- The options you select will show in a preview on the right.
- Click Save at the top of the page.
Organization terms
There may be terms unique to your organization or commonly used by your intranet users that can help AI provide better answers. In the Organization terms field, provide the name of your organization and acronyms used in your organization.
Enter terms in the following format:
Organization name: ThoughtFarmer,TF
CSM=Customer Success Manager
PTO=Paid Time Off
Welcome message
The Welcome message displays for users in the AI Assistant window the first time they click on the AI Assistant avatar to open it. You can use the Welcome message to set expectations about the assistant's capabilities, knowledge areas, and how it can be used. Users must click Continue before starting to use the AI Assistant.
- Go to the ThoughtFarmer Admin panel: Integrations section > AI Assistant page.
- Go to the Settings tab.
- Under Welcome, use the rich text editor to customize the welcome message as desired.
- Click Save.
Multiple languages
If there are multiple languages enabled on your intranet, you can select a language from the language dropdown at the bottom of the page, and add a custom Name and Welcome message for each enabled language.
