Bulk update external user store
Purpose and scope
This document provides instructions for migrating users from one external user store to another using the Bulk update external user store feature in ThoughtFarmer. This process is typically used when transitioning from Regular database users or Active Directory to a cloud identity provider such as Entra ID, Okta, or Google.
Limitations: This tool cannot be used to update user profile fields such as emails, usernames, or contact information. For those cases, use the Bulk Update Users admin page (admin/bulkimportupdateusers).
Prerequisites
- Admin access to the ThoughtFarmer site.
- A valid external user store set up and ready for migration.
- User export file prepared from the Admin panel (see procedure below).
Procedure
Export user spreadsheet
- Navigate to the Admin Panel: User & security section > User management page.
- Click on Bulk export all users at the top.
- From the dropdown menu, select Template for bulk update external user store.
- Select the radio button for one of the following options:
- Set 'New username' to email.
- Set 'New username' to existing username.
- Leave 'New username' blank (to update usernames manually).
- Click Export users to generate the spreadsheet.
Update users with new store
- Navigate to the Admin panel: Users & security section > Bulk update external user store page.
- Upload the exported spreadsheet.
- Select the new store from the Select external user store dropdown.
- Verify that the data is accurate.
- Click Bulk update external user store to start the process.
Troubleshooting
If you encounter any issues, open a Helpdesk Support ticket. Please include a screenshot of the error message and provide the timestamp of when the issue occurred for investigation.
