Add Outlook events to intranet calendar
Your organization may create and edit calendar events in Microsoft Outlook, and you would like them to appear on calendars on your intranet. You can add an Outlook calendar to an intranet calendar to be able to view Outlook events on your intranet.
Outlook events can be viewed but not edited from your intranet. Once an Outlook calendar is added to the intranet, users can view an Outlook event on the calendar, hover over the event for more details, or click on the event to be taken to a view-only Outlook event page on the intranet with more information.
Add calendar page
To add an Outlook calendar to the intranet, a calendar page has to be created first. See Add a calendar to learn the basics of adding a calendar page to the intranet, then see this page to learn how to add events from an Outlook calendar to the ThoughtFarmer intranet calendar page.
Available Outlook calendars
Outlook calendars can only be added to a ThoughtFarmer calendar if they are shared or group Outlook calendars. If a personal Outlook calendar is explicitly shared it can then be added to a ThoughtFarmer calendar.
Add Outlook calendar
Add a shared or group Outlook calendar to a ThoughtFarmer calendar page to be able to view Outlook calendar events on your intranet.
- On the Calendar page that you want to add an Outlook calendar to, click Add calendars under Calendars on the left.
- The Add calendars pop-up window will open. Under the Outlook calendars heading, you may see a message that you need to log in to your Microsoft 365 account. Click Log in to Microsoft 365 and follow the prompts to log in to your account.
- Once you are logged in to Microsoft 365, you will see a list of Outlook calendars that you can add to your ThoughtFarmer calendar. Select the checkbox(es) beside the calendar(s) that you want to add.
- Click Save.
Now the Outlook calendar(s) that you selected will show listed under the Calendars on the left and the events from the Outlook calendar will show on the ThoughtFarmer calendar page. Outlook calendar events will display an Outlook icon and a grey background to differentiate them from other event types.
Show or hide Outlook calendar events
When an Outlook calendar is added to a ThoughtFarmer calendar, the new Event type Outlook events will show under the Event types heading on the left. You can uncheck the checkbox beside Outlook events to hide those events from the calendar. You may want to do this to focus in on certain event types if there are multiple calendars showing their events on one calendar page. Select the checkbox to show Outlook events on the calendar again.
Search Outlook calendar events
Once at least one Outlook calendar has been added to the intranet, users can search for Outlook events and see them in search results. Outlook calendar events will appear both in find-as-you-type search results and the main list of search results.
On the main search results page, Outlook event search results can be viewed in a row of cards in-line with intranet search results, or in a separate Outlook calendars tab.
If you are not logged in to your Microsoft 365 account, a message will display in the Outlook calendars card row, prompting you to log in to the account to see search results. Clicking "Log in to Microsoft 365" will open the cloud drive account login window. After logging in, you will see search results from Outlook calendars that have been added to the intranet.
