Email newsletter templates
Email newsletter templates are already populated with content blocks, images and some content. Templates make it easy to set up new email newsletters and to send newsletters in a consistent format.
This page describes the default templates, and how to create, edit, use, and import and export email newsletter templates. To learn more about email newsletters, see Create email newsletter and Email newsletter content blocks.
Default templates
The default templates include example headers and footers, a selection of content blocks with placeholders of suggested content, a place for your organization's logo, and a font selected to match the style of the template. Read more details about the individual templates below:
Employee spotlight: This template features one employee with placeholders for a photo, basic info, and bio in a rich text block at the top. Posts about new hires can be added to a multiple post block. Birthdays and Work anniversaries are called out in a Rich text 2 columns block.
Event invite: Envelope design banner images at the top and bottom surround several rich text blocks and multiple post blocks in grid and side-by-side display styles. Blocks could be used for event details, posts about upcoming events, or posts about event policies.
News editorial: A newspaper style header introduces a main news post, followed by smaller posts and space for links in two columns.
View and edit templates
You can preview templates before adding them when creating an email newsletter. If you want to make edits to existing templates, follow these instructions.
- Click on your name or profile photo on the top right of any page.
- Click on Broadcast center.
- Go to the Email newsletter tab.
- Below Create email newsletter, click on the Email newsletters dropdown, and click on Templates.
- Click on a template name to view and edit it.
- Click Save template when you are done editing the template.
Use a template
Templates already populated with content blocks and images make it easy to set up new email newsletters, especially if you want to send newsletters in the same format repeatedly.
- Create a new email newsletter. (See Email newsletter for more details.)
- Click the Apply template button.
- In the Choose template window, you can click on the magnifying glass in the top right of a template option to read a description and preview what the template looks like. (Click Back to templates to preview or select another template, or click Apply if you want to apply the template you are previewing to the newsletter.)
- Click on the template you want to select.
- Click Apply. Your new newsletter will now be populated with content blocks, including some images and content.
- Set up posts and edit placeholder content to add your own content. You can reorder, add or delete content blocks.
- Continue setting up your newsletter as usual until you are ready to hit Send/Schedule.
Create a template
- Create an email newsletter with the general layout of content blocks and/or images and rich text content that you want to keep for future use as a template.
- Before sending the newsletter, click the down arrow on the right of the Send or Schedule button, and click on the Save as template option that appears. (If a newsletter has already been sent, you can create a template from it by going to the Broadcast center, clicking the ... three dots on the right of the newsletter, and clicking Save as template.)
- In the Save as template window that opens, name your template. The default name will be the name of the newsletter with TEMPLATE on the end.
- Click the Save as template button. A new newsletter template will open with the name you chose. All content blocks will be retained, and certain content will be retained: email subject, banner images, image block images, heading text, and rich text content. Recipients will also be retained in the Settings tab.
- Edit the template as desired. You can add, delete or reorder content blocks, and add or change content.
- Under the Settings tab, add a description so users previewing templates will know what it is for.
- Under the Settings tab, add or delete recipients. There must be at least one individual or security group added as a recipient.
- Click Save template.
Import and export templates
To import a template:
- Click on your name or profile photo on the top right of any page.
- Click on Broadcast center.
- Go to the Email newsletter tab.
- Below Create email newsletter, click on the Email newsletters dropdown, and click on Templates.
- Click Import template on the top right.
- In the Import template window, drag and drop or browse to add your template file.
- The template file will be imported and opened in the newsletter builder. Edit the template as desired and save the template.
To export a template:
- Click on your name or profile photo on the top right of any page.
- Click on Broadcast center.
- Go to the Email newsletter tab.
- Below Create email newsletter, click on the Email newsletters dropdown, and click on Templates.
- Click the ... three dots on the right of the newsletter, and click Export in the menu that opens.
- The newsletter template will be downloaded.
