Shared cards
Shared cards allow admins to configure Quick links or Rich text cards that are then available for page editors to add to intranet pages. This allows editors to easily add pre-configured Quick links or Rich text card content to pages. Admins can then update links or content across many pages simply by updating the shared card in the admin panel.
Admins can add shared cards to content templates so they are automatically available to page creators. If page editors have permission to modify individual page templates, they can also add shared cards to page templates.
Who can manage shared cards
By default, super admins and content admins will be able to access the shared cards admin page and add, edit, and delete shared cards. To change who can access the shared cards admin page or other admin pages, see Admin roles and permissions.
Create shared card
You need to be an admin with access to the Shared cards admin page to create a shared card.
- Go to the Admin panel: User interface section > Shared cards page.
- Click Add shared card.
- Select the radio button for the type of shared card you want to create: Quick links card or Rich text card.
- Type a descriptive name in the Card name field. This name will display to admins on the shared card page, and to page editors when they are selecting a shared card to add to a page.
- Configure the card as desired. For specific details about creating these types of cards, see Quick links card or Rich text card.
- If you have multiple languages on your intranet, click on the language selector at the bottom, choose another language, and set up the card for that language.
- Click Save.
Add shared card to page
Page editors can add shared cards to pages if they have permission to modify page templates. If you add a shared card to a page, any future updates made to the card by an administrator will also show up in the card on your page.
- Go into edit mode on the page where you want to add the shared card.
- Click Set up cards under Content type & template on the right.
- In the Update cards window, click Modify template near the top.
- Click the plus sign/Add card in the column where you want to add the shared card.
- To find the shared card:
- Click Filter by All cards and select Shared cards, or
- Scroll down to the Shared cards heading, or
- Start typing the name of the card in the Search available cards... field to filter the list of cards.
Shared cards will display under the Shared cards heading, accompanied by a share icon.
- Click on the shared card that you want to add to the page.
- Drag and drop the shared card to the position where you want it in the template.
- Click Done in the Update cards window.
- Click Save.
Add shared card to content template
Admins who have permission to edit content templates can add shared cards to templates. If you add a shared card to a content template that is in use, the shared card will automatically show on the pages using that template. To see a list of the pages that are using a content template, you can click the number under the Usage column beside that content template.
- Go to the Admin panel: User interface section > Content templates page.
- Find the content template where you want to add the shared card, and click the edit icon beside it.
- Click the plus sign/Add card in the column where you want to add the shared card.
- Scroll down to the Shared cards heading, or start typing in the Search available cards... field to filter the list of cards. Shared cards will display under the Shared cards heading, accompanied by a share icon.
- Click on the shared card that you want to add to the page.
- Drag and drop the shared card to the position where you want it in the template.
- Click Save.
Duplicate shared card
On the Shared card admin page, click the Duplicate icon beside the shared card you want to duplicate. You will go into edit mode on a new shared card. The title will be the same as the duplicated shared card with the word COPY added to the end. The new shared card will have the same card name, title and content as the original. Make the changes you want and save the new shared card.
Make changes to shared card on a single page
Page editors can make changes to an individual shared card like adding additional quick links, or modifying rich text content. To make changes to a shared card on a specific page, you have to convert the shared card to a standard card. Converting a shared card to a standard card unlinks it from the original shared card, it becomes like any regular card on a page. A shared card that has been converted to a standard card will not be affected by any future changes that are made to the original shared card.
- Go into edit mode on the page with the shared card you want to modify.
- Click Set up cards under Content type & template on the right.
- In the Update cards window, click Modify template near the top.
- Click the gear icon on the shared card that you want to edit. A warning message will appear "This is a shared card. To make edits, you need to convert to a standard card. Once converted, any changes made to the shared card won't be applied."
- Click Convert to standard card to unlink the card from the shared card and be able to make changes to it.
- The card will now be editable, and will have COPY added to the card name. Change the card name if desired and make the changes you want to make to the card.
- Click Update in the card editing window.
- Click Done in the card setup window.
- Save the page.
View shared card usage
Admins can view which pages and content templates shared cards are being used on.
- Go to the Admin panel: User interface section > Shared cards page.
- Find the card you want and click the number in the Usage column beside it.
- In the Shared card usage pop-up window, under the Page usage tab, you can see the page titles and breadcrumbs where the card is being used, and you can click on the page title to navigate to the page. Under the Layout usage tab you can see which content template layouts are using the shared card.
- Click X to close the window.
Delete shared card
To be able to delete a shared card, it must not be in use on any page. See View shared card usage above to check the usage of a shared card. If a shared card is in use, it must be deleted from any content templates it has been added to. It must also be deleted from any individual pages where the card was added.
If you want to remove a shared card from use, start by removing it from any page templates it has been added to. This may remove it from many or all of the pages it is in use on and save you time removing it from individual pages.
Once the usage for a card is at zero, go to the shared cards admin page, and click the Delete icon beside the shared card you want to delete. Click Delete in the pop-up window that appears to confirm the deletion.
